TERMS AND CONDITIONS GLAMPING

DEFINITIONS

“The business” trades as Plush Tents Ltd. and is referred to here as Plush Tents.

“The Campsite” is the camping area at Densworth Farm.

“The Guest” is any person staying at Plush Tents.

“The Hirer” is the person hiring the tents or equipment from Plush Tents .

“A Booking” is the contract entered into by the hirer and Plush Tents.

“The hire period” is the period starting from the first date of hire and terminating at the last day of hire.

General
These terms and conditions apply to all contracts entered into by Plush Tents Ltd. unless otherwise stated in Plush Tents’ written quotation. Any offer of Equipment is subject to stock being available on receipt of full payment for booking.

PAYMENT TERMS FOR TENT HIRE
By making a Booking the hirer is accepting our Terms and Conditions.
A Booking becomes binding once the dates of the hire period have been confirmed and payment for the hire cost has been received. If a holding deposit has been taken to secure the booking,  the balance is to be paid two weeks before the first date of hire. The Terms become binding upon receipt of the holding deposit.
If damage is done to equipment on the campsite, the cost of repair will be invoiced directly to the hirer. Cheques should be made payable to ‘Plush Tents Ltd’. 

CANCELLATION

The booking sum paid is only returnable up to 28 days before the first day of the planned hire period.

In the event of cancellation by the hirer, Plush Tents will retain the following sums:

If the booking is cancelled less than 14 days before the hire period then a charge equal to 50% of the booking will be made.
If the booking is cancelled less than 7 days before the hire period then a charge equal to the full booking amount will be made.
In the event of a no show or booking reduction (after the start of the hire period) the full cost of the booking is charged.
Plush Tents retain the right to cancel a booking if they believe the windspeed, torrential rain, ground holding conditions and site exposure result in an unsafe environment for the tents and hirer. A full refund will be made to the hirer in such cases. 

REFUNDS

If the hirer wishes to apply for a refund, the hirer must send a refund request to info@plushtentsglamping.co.uk with relevant information supporting their claim for a refund, as per the terms set out above.  Plush Tents will then review the booking records, identify lessons learned and respond accordingly. Please note: UK Regulations governing distance sales (e.g. over the internet) stipulate that there is no consumer right to cancel in relation to the supply of accommodation, transport of goods, vehicle rental services, catering or services related to leisure activities if the contract provides for a specific date or period of performance – for example, hotel bookings, courier services, car hire, restaurant bookings and theatre tickets for specific dates.

INSURANCE

Plush Tents holds public and products liability insurance. This means we are insured for any legal liability incurred for bodily injury (other than to employees) and/or loss of or damage to third party property occurring during the period of Insurance and on the course of the business and arising from any Plush Tents product.

HIRER’S & GUEST’S RESPONSIBILITIES WHILST ON THE CAMPSITE

When making your booking, please be aware that when on the campsite you are responsible for health, well being, behaviour and whereabouts of anyone under your care or any pets that you have brought with you.

The hirer must ensure that any contractors that you are engaging hold public liability insurance and any other appropriate insurance, i.e. product liability, employee insurance. You will also need to ensure that you hold copies of all contractors relevant insurance and that copies of such can be provided to the Events Team upon request.

CHECK IN/CHECK OUT

Arrival time is after 2 p.m. and before 7 p.m. A member of staff will be at the campsite between these times to greet you. Arrival after 7 p.m. is by arrangement only and guests may have to locate their own tent. Check out is 11 am on the day of departure.

ENVIRONMENT

Please keep to the defined paths, tracks and activity areas at all times, and treat all property and facilities appropriately and with care.
As a natural environment, paths and walkways can be uneven in places and in wet or cold conditions some surfaces may become slippery. Please make yourself aware of your surroundings and take appropriate care when moving around The Campsite. Please report any areas of concerns to a member of staff.
The Campsite is located in a natural, rural environment and we ask that in enjoying the beautiful surroundings you take every care not to pick or eat any plants growing on The Campsite.
Our Campsite neighbours occasionally have livestock in the adjacent fields. Please do not attempt to enter these fields and please do not feed or touch the animals. You may be asked to keep your dog on a lead to protect livestock and your dog.
Any form of glass excluding bottles is not permitted on the campsite.
Please ensure that your litter is placed in the bins provided.
This is an open Campsite environment. We ask that you be considerate of other The Campsite users and our neighbours and keep noise to a minimum when in the accommodation areas.
There is strictly no smoking allowed inside any of the tents at the campsite.
In the event of a fire, guests should leave the campsite by following signs to the nearest fire exit and gather in the main Car Park.  The Hirer or their nominated Responsible Person is responsible for accounting for all guests once they have vacated the campsite.
CHILDREN

Please note that a supervising responsible adult must accompany all under 16’s entering The Campsite. No under 16’s are to be left on The Campsite without an adult and must be supervised in all areas of The Campsite.

DOGS

Dogs are welcome to stay on the campsite but must be properly supervised at all times, must not be dangerous and must not cause a nuisance or threat to anyone. We accept a maximum of three dogs at any one time. No dog should be left unsupervised on The Campsite. We expect all owners to be responsible and clean up after their dog. There are livestock on the Farm and therefore you may be asked to keep your dog on a lead.

MOTOR VEHICLES

Motor vehicles must not be driven in to The Campsite. All motor vehicles should remain in the designated parking areas. If you need help carrying items to and from your accommodation please contact a member of our staff team who will be glad to assist.

WOOD BURNING STOVES

Each yurt is equipped with a wood-burning stove, fire gloves, fire tools, matches, firelighters, wood, fire extinguisher and carbon monoxide detector. If you do not have experience of lighting / operating wood burning stoves, please do not attempt to light the burner. Please notify campsite staff and we will gladly light the burner for you. Do not allow children to play with or operate the wood burner.

Please take extra care when moving around the wood burner as they get very hot and always make use of the safety equipment provided. If you run out of wood, just let one of the team know and we will replenish the wood basket for you. Please do not take/collect wood from the surrounding environment.

CATERING VAN

Guests are not permitted to enter the catering van or adjoining staff only area.

FIRES, BARBECUES, CAMPING STOVES.

Campers are not permitted to make fires around the campsite. Instead, there is a communal fire pit located near the catering van. Please take care when around the fire.
There are fire buckets full of sand situated near the fire pit which are there to extinguish the fire if it spreads beyond the confines of the pit.
Fire extinguishers are mounted in the catering van, on the side of toilet block and bandstand in case of fire.
Fire muster points located at each end of the campsite, are identifiable by signposts. The muster point near bandstand has a large brass bell to alert campers to the outbreak of fire. Each yurt is equipped with a fire extinguisher and carbon monoxide detector.
You are welcome to bring your own barbecue so long as you do not burn the ground. Freestanding barbecues are permitted on the campsite but must be placed at least 15 feet away from tents. Disposable barbecues are not permitted to be used directly on the ground. Please consider other guests when choosing where to place your barbecue.
Camping stoves must not be used inside tents. If Plush Tents has supplied the camping stove, please do not change the canister yourself. One of our team will do this for you. If you have brought your own camping stove, please do not change the canister inside the tents. Please ensure that camping stoves are placed on a flat surface to prevent accident, burns or outbreak of fire.

FIRST AID

If you are in need of first aid please approach campsite staff. First aid and burn kits are kept in the office and catering van.

DRINKING WATER

There are 3 drinking water points on The Campsite where you can collect drinking water for your consumption. Please remember to turn off the tap to prevent waste and flooding.

TOILETS

There are two types of toilets on the campsite: flushing toilets and composting toilets. The composting toilets need to be used in a certain way: male and female guests must sit down to use the composting loo. Please read and follow the instructions inside the composting toilets.

The campsite toilets are cleaned daily. If you find they are not up to standard, please contact a member of staff.

SHOWERS

The Campsite showers are gas powered. If you are unsure how to operate them please ask a member of staff. Please check the temperature of the water before stepping under the shower, by running your hand under the stream to ensure it is the right temperature for you.

COMMUNAL HOT TUB

The hot tub is a communal space at The Campsite. If you want to use the hot tub, please notify campsite staff in the morning, by popping into the office so that we can heat it up for you for around 6pm. The hot tub is heated by burning wood and so it takes 4 hours to reach temperature.

If you decide to use the hot tub you do so at your own risk and the owners cannot accept any responsibility for health problems that result from its use.

For your safety and enjoyment, you will be asked to read important information on how to use the hot tub safely. This is an important health and safety legal requirement for Hot tubs used in a commercial environment. Upon payment for our services at the time of booking you are accepting our teams and therefore take full responsibility for any loss or injury that may occur as a result of using the hot tub. Plush Tents will in no way be held responsible for any accident or injury arising from incorrect use of the Hot Tub, or failure to adhere to the safety advice set out below:

HOT TUB SAFETY INFORMATION

Please take a shower and use the toilet prior to entering the tub.
Test the water with your hand before entering the tub to make sure it is comfortable. If the water is too hot, the tub will need time to cool down, please contact the onsite staff member for assistance.
Do not stay in the tub for more than 20 minutes – take a break after this time. Hot water can affect your heart rate and your sperm count! Prolonged immersion in hot water can result in hyperthermia – a dangerous condition that occurs when the internal body temperature exceeds 37 degrees centigrade. Symptoms include, unawareness of impending hazard, failure to perceive heat, failure to recognise the need to exit the tub, unconsciousness resulting in danger of drowning.
Persons using medication should consult their doctor before using the tub. Some medications may cause drowsiness, do not use the tub if your medication induces drowsiness, affects your heart rate, blood pressure or circulation.
Do not use if pregnant or if you have any heart problems, Pregnant women, persons suffering from obesity, heart disease, low or high blood pressure, circulatory problems, or diabetes should consult a doctor before using the tub.
Children under 16 using the hot tub must be supervised by a responsible adult at all times.
Children under 4 years old are NOT permitted in the tub, as they cannot regulate their body temperatures suitably.
Do not use the tub immediately after strenuous exercise.
Do not drink the water.
Avoid the consumption of alcohol when using the tub.
Do not smoke, drink or use detergent or soaps of any kind inside the hot tub.
Do not use any glass wear in the tub.
Do not allow any pets in the tub.
Do not jump into the hot tub.
Be careful when using the steps which may become slippery when wet or in cold weather when the spilled water may freeze and become slippery as well.
Do not allow children to play unattended in or around the hot tub.
To avoid any damage to the stove the water level must be maintained to the designated mark, if the water level drops please notify a member of staff who will add water to the correct level.
Do not empty the hot tub of water.
Do not stand on the tub cover.
Do not touch the wood-burner, as it is hot.
Do not add fuel to the wood-burner, instead please contact an onsite staff member for assistance.

SECURITY

Our campsite is located away from main roads, out of sight of passers-by. The entrance gate is locked at night so if you plan on arriving after dark, please call ahead to arrange access.

VALUABLES

Plush tents cannot accept responsibility for loss or damage to valuables. We can provide padlocks to lock your tents while you are out. Guests are responsible for their own valuables and are left in tents at the owners risk. Guests must inform campsite staff immediately of any loss of or damage to their property, and must support Plush Tents in reporting such incidents to the police. Plush Tents is in no way responsible for the loss of or damage to guests’ property, which occurs as a result of inappropriate or irresponsible behaviour by the guest, or where the guest has used unnecessary force, or in situations where the guest is responsible for the property.

FORCE MAJEURE

While every possible effort will be made by Plush Tents to complete an order, Plush Tents cannot be held liable for non-completion of orders due to matters beyond its control. The Booking is subject to cancellation or variation due to acts of god, war, strikes, riots, extreme weather conditions such as flood, storm or gale or restrictions on the use of transport or any other cause beyond the control of Plush Tents. In the event of frustration of the Booking due to any of the above causes the Booking shall be deemed to be complete and upon written notice by Plush Tents to the Hirer to that effect Plush Tents shall refund to the Hirer any monies received in respect of the Booking less 10% which shall be retained by Plush Tents in respect of costs and expenses.

We reserve the right to alter pricing and our terms & conditions without prior notification.

TERMS AND CONDITIONS WEDDINGS & EXCLUSIVE HIRES

Plush Tents Terms and Conditions

These terms and conditions apply to all contracts entered into by Plush Tents Ltd.

The Hirer is responsible for informing agents and guests of these Terms and Conditions.


Definitions

 
“We or Plush Tents” refers to the business Plush Tents Ltd.

“The Campsite” is the camping area at Densworth Farm.

“The Guest” is any person staying at Plush Tents.

“The Hirer” is the person paying to hire the campsite from Plush Tents.

“The Event Holder is the person hiring the campsite from Plush Tents.

“A Booking” is the contract entered into by the hirer and Plush Tents.

“Event Organiser” is the person appointed by Plush tents that is responsible for the overseeing of the event.

“The Hire Period” is from 2pm on Friday through to 11am on Sunday over the dates as stipulated.

 

EXCLUSIVE HIRE

Arrival-Arrival time is after 2 p.m. and before 7 p.m. A member of staff will be at the campsite between these times to greet you. Arrival after 7 p.m. is by arrangement only and guests may have to locate their own tent. Check out is 11 am on the day of departure.

Equipment- The Hirer should not use any lighting, heating, cooking or other gas or electrical appliances of any kind without the previous consent in writing by Plush Tents.

PAT Testing- The Hirer must ensure that all entertainment booked for The Hire Period, with emphasis on Bands and DJs are in possession of a Public Liability Insurance document and the equipment used for The Hire Period is Portable Appliance Tested (PAT). The Event Organizer reserves the right to request a copy of this documentation at any time and will refuse permission to any agents who do not have Public Liability Insurance and whose equipment is not Portable Appliance Tested.

Music & firepit, cut off & closing times – All live musicians are asked to play at an acceptable volume that is NOT audible past the boundary of Plush Tents. Evening events will be closely monitored by duty staff throughout the evening to ensure we remain within the confines of our licence and to ensure there is NO disturbance to our neighbours. Music will go off at 11 pm in the Home Yurt, at which point the Home Yurt must be evacuated to allow staff to clear up & put away. Use of the fire pit outside may continue briefly while staff clear the Home Yurt, but this too closes as soon as staff have finished clearing – anywhere from 12.30-1am absolute latest. At this point, guests may no longer congregate in the communal areas & must return to their yurts or tents. We also ask that non-resident guests leave the venue completely when the Home Yurt closes at 11pm. Bands that perform on the bandstand will only be allowed acoustic or low-volume amplified music with an earlier cut off time of 8.30pm. All music will be monitored via a sound pressure limiter. Any amplified music playing after 11 pm anywhere (e.g. Home Yurt /car park/any camping areas) will be disconnected immediately and persons playing it asked to leave the premises by the duty manager or other staff on duty.

Difficult Guests – Any such prohibited playing of music will be charged without fail at a rate of £450 per hour or part thereof plus any additional costs, i.e. staff time, dealing with angry neighbours or the council. All such items will be billed to the Hirer. We will also bill the Hirer for any members of staff forced to stay on duty past 1 am if dealing with awkward, drunk or disorderly guests, as well as guests refusing to leave the Home Yurt /fire pit area, disturbing or annoying other guests staying on site, or if asked to run late-night errands for the Event Holder & guests of any sort which goes over & above our understood duties. These charges will run @ £50 per hour + VAT per staff member required. All such time will be billed for the full hour in hourly increments. The Event Holder/Event Organiser reserves the right of entry, or to ask any persons to leave Plush Tents who are not keeping good order or who are under the influence, in the opinion of the Event Holder/Event Organizer, of excessive alcohol consumption at any time during the hire period.

Access to surrounding areas- other than on public footpaths this is strictly forbidden. The surrounding area is a working farm. The Hirer is responsible for informing guests with young children to take appropriate precautions. Plush Tents is not responsible for the safety of children on the campsite. Any damage caused by children or adults will be billed to the Hirer.

Set up – Suppliers, the Hirer & guests requiring access to certain areas of the venue (e.g. bandstand, home yurt etc.) for decoration purposes will generally be allowed from 2 pm the day of check-in.
Before & after parties – Hiring our venue for your event means just that; it does not include arranging loud parties the day before or day after your main event. You and your guests who are staying on site are welcome to make full use of Plush Tents and hold welcome drinks or a BBQ but we ask that you limit any amplified or loud acoustic music, invite only resident guests and wind your gathering down significantly by 10pm. We would request that all guests return to their accommodations by midnight.

Health and Safety list-A full guest list (with names & ages of children & babies) of guests must be provided in writing using the event run sheet and emailed to the office a month before the event for H&S purposes.

Responsibility-Plush Tents shall not be responsible for any loss or damage to any property arising out of the hiring nor for the loss, damage or injury which may be incurred by or be done or happen to any person or persons using Plush Tents during The Hire Period arising from any cause whatsoever, or for any loss due to the breakdown of machinery failure, of supply of electricity, leakage of water, fire, Government restriction, or Act of God which may cause Plush Tents to be temporarily closed or the hiring to be interrupted or cancelled.

Plush Tents is not responsible for any agents contracted by The Hirer.

The Hirer is responsible for the arrival and departure of all guests in a quiet and orderly fashion.

The Hirer shall be responsible for a good order being kept at Plush Tents during The Hire Period. The Event Organiser reserves the right to end The Hire Period at any time due to good order not being kept. Plush Tents may, at their discretion, charge The Hirer for any extra expense it may incur for engaging police to preserve good order too, during or after an event at Plush Tents.

Alcohol-The Hirer may provide their own alcohol – Plush Tents does not charge corkage. If The Hirer does decide to have a paid bar they must consult the venue prior to arranging this as we only allow a certain amount of events a year.
Taxis-Guests should book taxis in advance and must leave no later than 11 pm. After this time the main gate will be closed with strictly no entrance or exit of vehicles until the morning. There is very limited mobile phone reception at Plush Tents (except for Vodafone, O2 and Giffgaff which does work) and taxi companies can often be unavailable at the last minute.

Capacity-The Maximum number of guests allowed at Plush Tents at any time is 120 persons. Plush Tents has a seating capacity of 67 in Home Yurt.

Signage-No direction signs, balloons etc. are permitted on routes leading to the campsite.

Parking-All cars are left at the owner’s risk. Plush Tents accepts no responsibility for cars parked at Plush Tents or in the surrounding area. All cars must park in the designated areas. Cars may only be allowed to stay overnight with prior permission of Plush Tents. Cars allowed to stay overnight must park in the area stated by Plush Tents and collected by 11.00 am the next day.

Forbidden items-No glassware, nails, pins, sticky tape or glue are permitted to be used anywhere at the campsite. No confetti or glitter of any type is permitted at the campsite. Helium balloons, Chinese Fire Lanterns are NOT permitted at the campsite. NO Fireworks may be used.

Pack down-The Hirer shall leave the campsite and the accommodation tents in a clean and orderly state at the end of The Hire Period with all rubbish, flowers and foliage, candles and candleholders, decorations and bottles removed. If face paint is used then any damage to the bed linen will be charged accordingly. Plush Tents may, at their discretion, charge The Hirer for any excessive cleaning required at the campsite or for the disposal of any rubbish or decorations not removed from the campsite by 11am on the morning following the event.

Unclaimed items-Any items left at the campsite must be claimed within two weeks of departure. We do not post out any items left on the premises.

GENERAL

 

BOOKING

Provisional bookings are held for 7 days only, during which time the event deposit is required to secure the booking.
A non-refundable deposit of £1000 is required within 7 days to secure the booking. The balance of 50% is payable a minimum of 6 months before the day, final 50% 1 month before the event. Additional costs will be payable as agreed in the run-up to the event or billed to the final account.
Our preferred method of payment is online transfer. Debit card payments are accepted but a surcharge of 3% will apply to all credit card payments. We do not accept American Express.
All agreed costs will be itemised on  the main account and are payable by The Hirer. Any extra costs incurred during the event will be added to the main account. Plush Tents reserves the right to bill any items missed from the final account at a later date.
Final accounts must be settled on the day of departure, or if prior arrangements have been made, within 7 days of The Hire Period itself.
Plush Tents reserves the right to cancel your function if payment conditions are not upheld. Receipt of your booking deposit confirms your acceptance of all terms & conditions. We also reserve the right to cancel an event if we deem our premises unusable for reasons beyond our control, in which case our liability to you will be limited to the extent of any monies already paid to Plush Tents, without interest.
Any charges incurred during The Hire Period must be paid no later than four weeks after The Hire Period. This includes any damages/breakages. We will pre authorise the hirers card for a £500 returnable damages deposit before the hire period.
If a confirmed event date is moved by the hirer to another date, the following fees will apply: more than 12 months notice £500 change fee from 6-12 months notices £1000 change fee less than 6 months notice £2000 change fee.
If you disagree with any of our terms and conditions, please notify us before signing the contract. Terms and conditions are negotiable on a case by case basis, furthermore, you can negotiate to add items into the contract as event extras are organised.
Any changes to the contract will require both parties to sign the newly amended contract.
(NOTE: please ensure that the person who declared themselves as event holder 1, event holder 2 and paying persons to follow suit below and do not mix or change).


CANCELLATION FOR EXCLUSIVE HIRE
The Hirer pays a non-refundable deposit of £1000 of the hire fee on booking Plush Tents and the remainder, including any surcharges; no reservation is confirmed until the deposit is paid.
Final balance is payable 28 days before the date of your booking.
The final balance is the total cost of the booking plus any extras.
If an event is cancelled by The Hirer the deposit is not refundable or useable against any other booking of any sort. If the event date is 6 months or less from the time of cancellation then the hirer will be liable in full for the remaining payment. If the event date is from 6-12 months after cancellation the hirer will be liable for 50% of the remaining payment. If 12-18 months the hirer will be liable for 25% of the remaining payment. 18 months+ will incur no additional charge. Bookings must be cancelled in writing or via email to Plush Tents. All cancellations will then be confirmed by Plush Tents.

We strongly advise the hirer to take out event insurance to cover against all eventualities such as illness, death or unemployment. DOGS

Dogs are welcome to stay on the campsite but must be properly supervised at all times, must not be dangerous and must not cause a nuisance or threat to anyone. We accept a maximum of three dogs at any one time. No dog should be left unsupervised on The Campsite. We expect all owners to be responsible and clean up after their dog. There are livestock on the Farm and therefore you may be asked to keep your dog on a lead.

 

MOTOR VEHICLES

Motor vehicles must not be driven in to The Campsite. All motor vehicles should remain in the designated parking areas. If you need help carrying items to and from your accommodation please contact a member of our staff team who will be glad to assist.

 

WOOD BURNING STOVES

Each yurt is equipped with a wood-burning stove, fire gloves, fire tools, matches, firelighters, wood, fire extinguisher and carbon monoxide detector. If you do not have experience of lighting / operating wood burning stoves, please do not attempt to light the burner. Please notify campsite staff and we will gladly light the burner for you. Do not allow children to play with or operate the wood burner.
Please take extra care when moving around the wood burner as they get very hot and always make use of the safety equipment provided. If you run out of wood, just let one of the team know and we will replenish the wood basket for you. Please do not take/collect wood from the surrounding environment.
 

CATERING VAN

Guests are not permitted to enter the catering van or adjoining staff only area.

 

FIRES, BARBECUES, CAMPING STOVES.

Campers are not permitted to make fires around the campsite. Instead, there is a communal fire pit located near the catering van. Please take care when around the fire.
There are fire buckets full of sand situated near the fire pit which are there to extinguish the fire if it spreads beyond the confines of the pit.
Fire extinguishers are mounted in the catering van, on the side of toilet block and bandstand in case of fire.
Fire muster points located at each end of the campsite, are identifiable by signposts. The muster point near bandstand has a large brass bell to alert campers to the outbreak of fire. Each yurt is equipped with a fire extinguisher and carbon monoxide detector.
You are welcome to bring your own barbecue so long as you do not burn the ground. Freestanding barbecues are permitted on the campsite but must be placed at least 15 feet away from tents. Disposable barbecues are not permitted to be used directly on the ground. Please consider other guests when choosing where to place your barbecue.
Camping stoves must not be used inside tents. If Plush Tents has supplied the camping stove, please do not change the canister yourself. One of our team will do this for you. If you have brought your own camping stove, please do not change the canister inside the tents. Please ensure that camping stoves are placed on a flat surface to prevent accident, burns or outbreak of fire.

FIRST AID

If you are in need of first aid please approach campsite staff. First aid and burn kits are kept in the office and catering van.

 

DRINKING WATER

There are 3 drinking water points on The Campsite where you can collect drinking water for your consumption. Please remember to turn off the tap to prevent waste and flooding.

 

 

TOILETS

There are two types of toilets on the campsite: flushing toilets and composting toilets. The composting toilets need to be used in a certain way: male and female guests must sit down to use the composting loo. Please read and follow the instructions inside the composting toilets.

The campsite toilets are cleaned daily. If you find they are not up to standard, please contact a member of staff.


SHOWERS

The Campsite showers are gas powered. If you are unsure how to operate them please ask a member of staff. Please check the temperature of the water before stepping under the shower, by running your hand under the stream to ensure it is the right temperature for you.

 

COMMUNAL HOT TUB

The hot tub is a communal space at The Campsite. If you want to use the hot tub, please notify campsite staff in the morning, by popping into the office so that we can heat it up for you for around 6pm. The hot tub is heated by burning wood and so it takes 4 hours to reach temperature.
If you decide to use the hot tub you do so at your own risk and the owners cannot accept any responsibility for health problems that result from its use.
For your safety and enjoyment, you will be asked to read important information on how to use the hot tub safely. This is an important health and safety legal requirement for Hot tubs used in a commercial environment. Upon payment for our services at the time of booking you are accepting our teams and therefore take full responsibility for any loss or injury that may occur as a result of using the hot tub. Plush Tents will in no way be held responsible for any accident or injury arising from incorrect use of the Hot Tub, or failure to adhere to the safety advice set out below:
 
HOT TUB SAFETY INFORMATION

Please take a shower and use the toilet prior to entering the tub.
Test the water with your hand before entering the tub to make sure it is comfortable. If the water is too hot, the tub will need time to cool down, please contact the onsite staff member for assistance.
Do not stay in the tub for more than 20 minutes – take a break after this time. Hot water can affect your heart rate and your sperm count! Prolonged immersion in hot water can result in hyperthermia – a dangerous condition that occurs when the internal body temperature exceeds 37 degrees centigrade. Symptoms include, unawareness of impending hazard, failure to perceive heat, failure to recognise the need to exit the tub, unconsciousness resulting in danger of drowning.
Persons using medication should consult their doctor before using the tub. Some medications may cause drowsiness, do not use the tub if your medication induces drowsiness, affects your heart rate, blood pressure or circulation.
Do not use if pregnant or if you have any heart problems, Pregnant women, persons suffering from obesity, heart disease, low or high blood pressure, circulatory problems, or diabetes should consult a doctor before using the tub.
Children under 16 using the hot tub must be supervised by a responsible adult at all times.
Children under 4 years old are NOT permitted in the tub, as they cannot regulate their body temperatures suitably.
Do not use the tub immediately after strenuous exercise.
Do not drink the water.
Avoid the consumption of alcohol when using the tub.
Do not smoke, drink or use detergent or soaps of any kind inside the hot tub.
Do not use any glass wear in the tub.
Do not allow any pets in the tub.
Do not jump into the hot tub.
Be careful when using the steps which may become slippery when wet or in cold weather when the spilled water may freeze and become slippery as well.
Do not allow children to play unattended in or around the hot tub.
To avoid any damage to the stove the water level must be maintained to the designated mark, if the water level drops please notify a member of staff who will add water to the correct level.
Do not empty the hot tub of water.
Do not stand on the tub cover.
Do not touch the wood-burner, as it is hot.
Do not add fuel to the wood-burner, instead please contact an onsite staff member for assistance.


SECURITY

Our campsite is located away from main roads, out of sight of passers-by. The entrance gate is locked at night so if you plan on arriving after dark, please call ahead to arrange access.

 

VALUABLES

Plush tents cannot accept responsibility for loss or damage to valuables. We can provide padlocks to lock your tents while you are out. Guests are responsible for their own valuables and are left in tents at the owners risk. Guests must inform campsite staff immediately of any loss of or damage to their property, and must support Plush Tents in reporting such incidents to the police. Plush Tents is in no way responsible for the loss of or damage to guests’ property, which occurs as a result of inappropriate or irresponsible behaviour by the guest, or where the guest has used unnecessary force, or in situations where the guest is responsible for the property.

 

FORCE MAJEURE
While every possible effort will be made by Plush Tents to complete an order, Plush Tents cannot be held liable for non-completion of orders due to matters beyond its control. The Booking is subject to cancellation or variation due to acts of god, war, strikes, riots, extreme weather conditions such as flood, storm or gale or restrictions on the use of transport or any other cause beyond the control of Plush Tents. In the event of frustration of the Booking due to any of the above causes the Booking shall be deemed to be complete and upon written notice by Plush Tents to the Hirer to that effect Plush Tents shall refund to the Hirer any monies received in respect of the Booking less 10% which shall be retained by Plush Tents in respect of costs and expenses.

 

We reserve the right to alter pricing and our terms & conditions without prior notification.

 

 

TERMS AND CONDITIONS CAMP KINDRED

These terms and conditions apply to all contracts entered into by Plush Tents Ltd who are the organizers of Camp Kindred.

The Hirer is responsible for informing agents and guests of these Terms and Conditions.


Definitions

 
“We, Camp Kindred or Plush Tents” refers to the business Plush Tents Ltd.

“The Campsite” is the camping area at Densworth Farm.

“The Guest” is any person staying at Plush Tents.

“The Hirer” is the person paying to hire the campsite from Plush Tents.

“The Event Holder is the person hiring the campsite from Plush Tents.

“A Booking” is the contract entered into by the hirer and Plush Tents.

“Event Organiser” is the person appointed by Plush tents that is responsible for the overseeing of the event.

“The Hire Period” is from 10am on the day of arrival through to 11am the following day over the dates as stipulated in the hiring contract.

 

EXCLUSIVE HIRE

Arrival-Arrival time is after 10am on the day of arrival. A member of our team will greet you and show you to your accommodation and brief you on the activities during your stay. Check out is 11 am on the day of departure.

Equipment- The Hirer should not use any lighting, heating, cooking or other gas or electrical appliances of any kind without the previous consent in writing by Plush Tents.

PAT Testing- The Hirer must ensure that all entertainment booked for The Hire Period, with emphasis on Bands and DJs are in possession of a Public Liability Insurance document and the equipment used for The Hire Period is Portable Appliance Tested (PAT). The Event Organizer reserves the right to request a copy of this documentation at any time and will refuse permission to any agents who do not have Public Liability Insurance and whose equipment is not Portable Appliance Tested.

Music & firepit, cut off & closing times – All live musicians are asked to play at an acceptable volume that is NOT audible past the boundary of Plush Tents. Evening events will be closely monitored by duty staff throughout the evening to ensure we remain within the confines of our licence and to ensure there is NO disturbance to our neighbours. Music will go off at 11 pm in the Home Yurt, at which point the Home Yurt must be evacuated to allow staff to clear up & put away. Use of the fire pit outside may continue briefly while staff clear the Home Yurt, but this too closes as soon as staff have finished clearing – anywhere from 12.30-1am absolute latest. At this point, guests may no longer congregate in the communal areas & must return to their yurts or tents. We also ask that non-resident guests leave the venue completely when the Home Yurt closes at 11pm. Bands that perform on the bandstand will only be allowed acoustic or low-volume amplified music with an earlier cut off time of 8.30pm. All music will be monitored via a sound pressure limiter. Any amplified music playing after 11 pm anywhere (e.g. Home Yurt /car park/any camping areas) will be disconnected immediately and persons playing it asked to leave the premises by the duty manager or other staff on duty.

Difficult Guests – Any such prohibited playing of music will be charged without fail at a rate of £450 per hour or part thereof plus any additional costs, i.e. staff time, dealing with angry neighbours or the council. All such items will be billed to the Hirer. We will also bill the Hirer for any members of staff forced to stay on duty past 1 am if dealing with awkward, drunk or disorderly guests, as well as guests refusing to leave the Home Yurt /fire pit area, disturbing or annoying other guests staying on site, or if asked to run late-night errands for the Event Holder & guests of any sort which goes over & above our understood duties. These charges will run @ £50 per hour + VAT per staff member required. All such time will be billed for the full hour in hourly increments. The Event Holder/Event Organiser reserves the right of entry, or to ask any persons to leave Plush Tents who are not keeping good order or who are under the influence, in the opinion of the Event Holder/Event Organizer, of excessive alcohol consumption at any time during the hire period.

Access to surrounding areas- other than on public footpaths this is strictly forbidden. The surrounding area is a working farm. The Hirer is responsible for informing guests with young children to take appropriate precautions. Plush Tents is not responsible for the safety of children on the campsite. Any damage caused by children or adults will be billed to the Hirer.

Health and Safety list-A full list of attendees must be provided in writing using the event run sheet and emailed to the office a month before the event for H&S purposes.


Responsibility-Plush Tents shall not be responsible for any loss or damage to any property arising out of the hiring nor for the loss, damage or injury which may be incurred by or be done or happen to any person or persons using Plush Tents during The Hire Period arising from any cause whatsoever, or for any loss due to the breakdown of machinery failure, of supply of electricity, leakage of water, fire, Government restriction, or Act of God which may cause Plush Tents to be temporarily closed or the hiring to be interrupted or cancelled.

Plush Tents is not responsible for any agents contracted by The Hirer.

The Hirer is responsible for the arrival and departure of all attendees in a quiet and orderly fashion.

The Hirer shall be responsible for a good order being kept at Plush Tents during The Hire Period. The Event Organiser reserves the right to end The Hire Period at any time due to good order not being kept. Plush Tents may, at their discretion, charge The Hirer for any extra expense it may incur for engaging police to preserve good order too, during or after an event at Plush Tents.

Alcohol-The Hirer may provide their own alcohol – Plush Tents does not charge corkage. If The Hirer does decide to have a paid bar they must consult the venue prior to arranging this as we only allow a certain amount of events a year.

Taxis-Any attendees not staying on site should book taxis in advance and must leave no later than 11 pm. After this time the main gate will be closed with strictly no entrance or exit of vehicles until the morning. There is very limited mobile phone reception at Plush Tents (except for Vodafone, O2 and Giffgaff which does work) and taxi companies can often be unavailable at the last minute.

Capacity-The Maximum number of guests allowed at Plush Tents at any time is 120 persons.

Signage-No direction signs, balloons etc. are permitted on routes leading to the campsite.

Parking-All cars are left at the owner’s risk. Plush Tents accepts no responsibility for cars parked at Plush Tents or in the surrounding area. All cars must park in the designated areas. Cars may only be allowed to stay overnight with prior permission of Plush Tents. Cars allowed to stay overnight must park in the area stated by Plush Tents and collected by 11.00 am the next day.

Forbidden items-No glassware, nails, pins, sticky tape or glue are permitted to be used anywhere at the campsite. No confetti or glitter of any type is permitted at the campsite. Helium balloons, Chinese Fire Lanterns are NOT permitted at the campsite. NO Fireworks may be used.

Pack down-The Hirer shall leave the campsite and the accommodation tents in a clean and orderly state at the end of The Hire Period. If face paint is used then any damage to the bed linen will be charged accordingly. Plush Tents may, at their discretion, charge The Hirer for any excessive cleaning required at the campsite or for the disposal of any rubbish or decorations not removed from the campsite by 11am on the morning following the event.

Unclaimed items-Any items left at the campsite must be claimed within two weeks of departure. We do not post out any items left on the premises.

GENERAL

 

BOOKING

Provisional bookings are held for 7 days only, during which time the event deposit is required to secure the booking.

A non-refundable deposit of £1000 is required within 7 days to secure the booking. The balance of 50% is payable a minimum of 6 months before the day, final 50% 1 month before the event. Additional costs will be payable as agreed in the run-up to the event or billed to the final account.

Our preferred method of payment is online transfer. Debit card payments are accepted but a surcharge of 3% will apply to all credit card payments. We do not accept American Express.

All agreed costs will be itemised on  the main account and are payable by The Hirer. Any extra costs incurred during the event will be added to the main account. Plush Tents reserves the right to bill any items missed from the final account at a later date.

Final accounts must be settled on the day of departure, or if prior arrangements have been made, within 7 days of The Hire Period itself.

Plush Tents reserves the right to cancel your function if payment conditions are not upheld. Receipt of your booking deposit confirms your acceptance of all terms & conditions. We also reserve the right to cancel an event if we deem our premises unusable for reasons beyond our control, in which case our liability to you will be limited to the extent of any monies already paid to Plush Tents, without interest.

Any charges incurred during The Hire Period must be paid no later than four weeks after The Hire Period. This includes any damages/breakages. We will pre authorise the hirers card for a £500 returnable damages deposit before the hire period.
 

If a confirmed event date is moved by the hirer to another date, the following fees will apply: more than 12 months notice £500 change fee from 6-12 months notices £1000 change fee less than 6 months notice £2000 change fee.

If you disagree with any of our terms and conditions, please notify us before signing the contract. Terms and conditions are negotiable on a case by case basis, furthermore, you can negotiate to add items into the contract as event extras are organised.

Any changes to the contract will require both parties to sign the newly amended contract.

(NOTE: please ensure that the person who declared themselves as event holder 1, event holder 2 and paying persons to follow suit below and do not mix or change).

CANCELLATION FOR EXCLUSIVE HIRE

The Hirer pays a non-refundable deposit of £1000 of the hire fee on booking Plush Tents and the remainder, including any surcharges; no reservation is confirmed until the deposit is paid.
 

Final balance is payable 28 days before the date of your booking.
 

The final balance is the total cost of the booking plus any extras.
 

If an event is cancelled by The Hirer the deposit is not refundable or useable against any other booking of any sort. If the event date is 6 months or less from the time of cancellation then the hirer will be liable in full for the remaining payment. If the event date is from 6-12 months after cancellation the hirer will be liable for 50% of the remaining payment. If 12-18 months the hirer will be liable for 25% of the remaining payment. 18 months+ will incur no additional charge. Bookings must be cancelled in writing or via email to Plush Tents. All cancellations will then be confirmed by Plush Tents.

.Plush Tents retain the right to cancel a booking if they believe the wind speed, torrential rain, ground holding conditions and site exposure result in an unsafe environment for the tents and hirer. A full refund will be made to the hirer in such cases.
 

REFUNDS

If the hirer wishes to apply for a refund, the hirer must send a refund request to info@plushtentsglamping.co.uk with relevant information supporting their claim for a refund, as per the terms set out above.  Plush Tents will then review the booking and respond accordingly. Please note: UK Regulations governing distance sales (e.g. over the internet) stipulate that there is no consumer right to cancel in relation to the supply of accommodation, transport of goods, vehicle rental services, catering or services related to leisure activities if the contract provides for a specific date or period of performance – for example, hotel bookings, courier services, car hire, restaurant bookings and theatre tickets for specific dates.
 

INSURANCE

Plush Tents holds public and products liability insurance. This means we are insured for any legal liability incurred for bodily injury (other than to employees) and/or loss of or damage to third party property occurring during the period of Insurance and on the course of the business and arising from any Plush Tents product.
 

We strongly advise the hirer to take out event insurance to cover against all eventualities such as illness, death or unemployment. HIRER’S & GUEST’S RESPONSIBILITIES WHILST ON THE CAMPSITE

 

When making your booking, please be aware that when on the campsite you are responsible for health, well being, behaviour and whereabouts of anyone under your care or any pets that you have brought with you.

The hirer must ensure that any contractors that you are engaging hold public liability insurance and any other appropriate insurance, i.e. product liability, employee insurance. You will also need to ensure that you hold copies of all contractors relevant insurance and that copies of such can be provided to the Events Team upon request.

 

ACTIVITIES

All attendees are required to sign a disclaimer before participating in Camp Kindred activities. All activities are entered into at the attendees own risk. Some of them are quite physical so its important that each individual sets their own limits and only participates in what they feel comfortable with. Plush Tents accepts no responsibility for for accidents or injury sustained during the Camp Kindred activities.  

 

ENVIRONMENT

Please keep to the defined paths, tracks and activity areas at all times, and treat all property and facilities appropriately and with care.
As a natural environment, paths and walkways can be uneven in places and in wet or cold conditions some surfaces may become slippery. Please make yourself aware of your surroundings and take appropriate care when moving around The Campsite. Please report any areas of concerns to a member of staff.
The Campsite is located in a natural, rural environment and we ask that in enjoying the beautiful surroundings you take every care not to pick or eat any plants growing on The Campsite.
Our Campsite neighbours occasionally have livestock in the adjacent fields. Please do not attempt to enter these fields and please do not feed or touch the animals. You may be asked to keep your dog on a lead to protect livestock and your dog.
Any form of glass excluding bottles is not permitted on the campsite.
Please ensure that your litter is placed in the bins provided.
This is an open Campsite environment. We ask that you be considerate of other The Campsite users and our neighbours and keep noise to a minimum when in the accommodation areas.
There is strictly no smoking allowed inside any of the tents at the campsite.
In the event of a fire, guests should leave the campsite by following signs to the nearest fire exit and gather in the main Car Park.  The Hirer or their nominated Responsible Person is responsible for accounting for all guests once they have vacated the campsite.

To avoid any damage to the stove the water level must be maintained to the designated mark, if the water level drops please notify a member of staff who will add water to the correct level.
Do not empty the hot tub of water.
Do not stand on the tub cover.
Do not touch the wood-burner, as it is hot.
Do not add fuel to the wood-burner, instead please contact an onsite staff member for assistance.


SECURITY

Our campsite is located away from main roads, out of sight of passers-by. The entrance gate is locked at night so if you plan on arriving after dark, please call ahead to arrange access.

 

VALUABLES

Plush tents cannot accept responsibility for loss or damage to valuables. We can provide padlocks to lock your tents while you are out. Guests are responsible for their own valuables and are left in tents at the owners risk. Guests must inform campsite staff immediately of any loss of or damage to their property, and must support Plush Tents in reporting such incidents to the police. Plush Tents is in no way responsible for the loss of or damage to guests’ property, which occurs as a result of inappropriate or irresponsible behaviour by the guest, or where the guest has used unnecessary force, or in situations where the guest is responsible for the property.

 

FORCE MAJEURE
While every possible effort will be made by Plush Tents to complete an order, Plush Tents cannot be held liable for non-completion of orders due to matters beyond its control. The Booking is subject to cancellation or variation due to acts of god, war, strikes, riots, extreme weather conditions such as flood, storm or gale or restrictions on the use of transport or any other cause beyond the control of Plush Tents. In the event of frustration of the Booking due to any of the above causes the Booking shall be deemed to be complete and upon written notice by Plush Tents to the Hirer to that effect Plush Tents shall refund to the Hirer any monies received in respect of the Booking less 10% which shall be retained by Plush Tents in respect of costs and expenses.
